Children's privacy

A child doesn't create the account.

Archiva is for the adult who keeps the records. This page says how a child's information gets in, what a student login can see, and how a parent can ask us to delete it.

An adult adds the child

Children do not create their own accounts. A parent creates the family account and the student profile. That parent decides whether the child can sign in, what the child can see, and when to turn the login off.

Our terms say the person who creates a parent, staff, or member account must be 18 or older, or the age of majority where they live. Signup does not ask for a birth date to check that. A child's birth date is optional, and a parent adds it only as part of the school record. This matches the children section of the Privacy Policy.

A child can also appear because an adult submitted a membership application. That adult is responsible for having the authority to share the child's information.

What we keep about a child

On a family account, a parent enters the child's first and last name. Middle name, nickname, birth date, and grade level are optional. The parent then adds the school work: classes, assignments, scores kept as percentages, attendance, and comments. A report card, a transcript, and an attendance log are PDFs generated from those entries.

We do not ask for a government ID on a family account.

Student login stays off until a parent turns it on

A parent can turn on a student login. The child can sign in with a private link, a QR code of that link, or a family code plus a PIN. The link and the QR code work for 30 days from when the link was created. The parent can revoke them sooner, and the old link stops working.

The parent chooses what the student sees. Assignments are on by default. Grades and attendance stay off until the parent turns them on.

A student login cannot open the parent app, billing, or invites. If a student session tries, the app sends it back to the student pages.

We do not record what a student clicked or the text on the page. A student session can record which page was open and how long it stayed open.

We don't advertise to children

We do not show advertising to students. We do not use student information for targeted advertising, and we do not sell it.

A cover school's roster is separate

A cover school that uses Archiva for Associations keeps its own roster. A parent applying, or staff at that school, enters the child's information the school asks for. That can include a name and a birth date. Those children do not get a student login on Archiva for Home, and they do not have a separate channel of usage notes.

If the school chooses to store a Social Security number for a transcript, we encrypt it before saving it in production. Staff see the last four digits in the browser. The full number is printed on a transcript only when staff generate that PDF.

What a parent can do

A parent can review, correct, and delete family records in the app, including a student. Deleting a student is refused while a finalized grade for that student is still locked.

For a copy of the account, or to delete the whole account, email support@myarchiva.com from the account address with the subject “Privacy Request.” To ask about one child's family records, use the subject “Child Privacy Request.”

If the child is on an association roster, start with that association. The association decides roster deletions. If they have asked us to help, or they do not respond and the law requires us to act, write the same address.

How to reach us

Privacy questions and requests go to support@myarchiva.com. How the rest of the product handles records is on Data & security.
